How To Set Focusing Status In Teams

What is the Focus status?

Focusing status is an option built into the Microsoft Teams app to increase your focus time. By enabling it, other team members won’t interrupt you and you can dedicate the time to tasks like writing a report, preparing a presentation, or any other complex problem that requires deep focus. Turning on the focus status mutes all notifications that distract you.

How To Set Focusing Status In Teams?

You cannot enable the “focusing” status directly on your Teams app. However, there are some ways to achieve a similar effect.

Do Not Disturb (DND) Status:

You can simply activate the DND status. The team members now will get notified that you are unavailable. Here’s how to do it.

  1. At the top right corner click on your profile picture.
  2. Click on your status.
  3. Select the “Do Not Disturb” option. And you’re done.

DND status with Duration

You can also add the duration to your DND sessions. Here’s how you can do that.

  1. From the top right corner, click on the profile picture and then select status.
  2. Then select the “Do not disturb” option.
  3. Then you can select “Duration” and select the required time frame. For example, a time frame of 1 hour will activate the DND status for an hour and then it will automatically be disabled.

Leverage Quiet Hours (Requires Windows 10)

If you have Windows 10 or above, you can choose “Quiet Hours” to schedule focused time sessions. This feature mutes all the notifications across your entire system including Microsoft Teams. Here’s how to enable it.

  1. Go to the “Settings” of your Teams app by clicking on the profile picture.
  2. Then select “Notifications > Quiet Hours”.
  3. You can then schedule your focus sessions by adding the time.
  4. Before you perform all the steps, ensure that “Focus Assist” is enabled in your system settings.

Enable Focus Time in Outlook Calendar

You can also schedule “Focus Time” in your Outlook Calendar. However, it might not reflect directly on your “Teams” application status. Here’s how we are going to do it.

  1. Just create a new event in your Outlook calendar and name it “Focus Time”.
  2. Set the desired duration of your focused work session.
Note: There are some integrations to automatically change the “Focus Time” across the entire system including the Teams app for a particular date.

These methods allow you to effectively communicate with your colleagues without disturbing your focused work time. Now, you can easily minimize distractions and maximize your productivity.
